We can hold a date free of charge for two weeks whilst a date is booked with a church, Sheffield registry office or a celebrant. Following this two week period you will be required to pay a deposit or the date will be released for sale.
Our booking form is generally on an online document signing software so we ask that you complete the form by following the link below so we can prepare this document and send it out to you both. We require a separate email for each of you so you can sign on your own behalf. Alongside your completed booking form you will need to pay a deposit for your date.
The deposit required to make a booking depends on the type of booking you’re making.
Whitley Suite or Parker Suite Only Bookings
Initial deposit – £1000
£750 of this is retained as a security bond which is then refunded after the wedding, £250 goes towards the wedding.
Second deposit – £1250
Due a year before the wedding (or 2 months after confirmation if booking less than a year in advance).
Final payment – Determined following final details appointment.
Due no later than 6 weeks before the wedding.
Parker Suite Semi-Exclusive Bookings
Initial deposit – £1500
£1000 of this is retained as a security bond which is then refunded after the wedding, £500 goes towards the wedding.
Second deposit – £1500
Due a year before the wedding (or 2 months after confirmation if booking less than a year in advance).
Final payment – Determined following final details appointment.
Due no later than 6 weeks before the wedding.
Full Exclusive Bookings
Initial deposit – £2000 (or 25% of the quote whichever is the greater amount).
£1000 of this is retained as a security bond which is then refunded after the wedding, £1000 goes towards the wedding.
Second deposit – £2000 (or 25% of the quote whichever is the greater amount).
Due a year before the wedding (or 2 months after confirmation if booking less than a year in advance).
Final payment – Determined following final details appointment.
Due no later than 6 weeks before the wedding.
To pay your deposit you can either call the hotel or pay online via our website.
Following the completion of your booking form and deposit being paid you will receive confirmation from us. Next it’s time to get everything else organised including venue styling, photographers and flowers.
The next thing we will require from you is your Accommodation Booking Form around six months before your wedding (more information can be found on the Bedrooms tab). After this we will be calling you to book in final details around ten weeks before your wedding.

Your wedding co-ordinator will contact you to arrange an appointment ten weeks before the date of your wedding where all final arrangements will be confirmed. Follow the link below to book your Final Details Appointment. You’ll be expected to know your table plan, meal requirements, bedroom requirement (if you haven’t already provided these to us), timings, suppliers details, etc. so please have these ready.
Please allow the security bond seven to ten working days to go back into your account after your wedding.
So that we can keep our gardens neat and tidy for all our guests to enjoy we unfortunately do not allow confetti to be thrown.
Our recommended timings are as follows:
- 30 minutes for your ceremony, any readings or additional content must be added on to this time.
- 1.5-2 hours for arrival drinks and photographs depending on your guest numbers.
- On average your wedding breakfast service takes 1.5 hours for a three course meal, length of any speeches needs to be added to this time.
- For your room to be ready for evening reception please allow a minimum of 1.5 hours (depending on additional items in the room e.g. photo booths, bands, etc.) from the end of the wedding breakfast before your evening reception can begin.
The outside bar (if booked) closes at 10pm and the function bars close at midnight, no drinks will be available after this time to any guests.
Unfortunately we do not allow candles with naked flames unless completely encased (e.g. lanterns). Due to restrictions by Sheffield Registry office we cannot allow candles on the ceremony table.
Candles are not permitted during the evening but LED candles can be used.
You will be allocated a 30 minute slot to use the main gardens for photographs but outside of this time the main gardens are not accessible to your guests at any time. You will have your own private garden area allocated to you if booking the Whitley or Parker suites.
If you haven’t arranged for an external artist to play during your ceremony you will need to provide the hotel with the following:
- Four songs for the guests waiting.
- One song for the walking down the aisle.
- Four songs to play during the signing of the register.
- One song to exit to.
These must be e-mailed to the hotel no later than two weeks before along with your dietary list and must be available on mainstream streaming services, eg. Spotify, Apple Music, Amazon Music. If this isn’t possible songs must be downloaded onto a phone and passed to the manager in charge on the day. We do not have a CD player onsite so music cannot be accepted in CD format.
We do not allow the outdoor chairs to be used in the function room or vice versa.
Upon booking the wedding there is a set amount of rooms held under your name (please refer to your confirmation letter). We ask that you complete our accommodation booking form by following the link below. This should be completed around six months before your wedding so we have time to release rooms that you haven’t taken for sale to the general public.
Once we receive this form we will allocate these rooms on our system and inform you when they are allocated. At this point your guests will call the hotel or pay online quoting their name and the date of your wedding.
Exclusive weddings are required to have the bedrooms fully paid by the time you come down for final details so we can put any bedrooms not taken on your wedding bill. This is around ten weeks before your wedding.
Any other weddings have until four weeks before the wedding to have all the rooms paid before we cancel the bookings release them to the public for sale. The link below can be used to pay for guests’ bedrooms.
Check in time is from 3pm and check out is at 10.30am. We are pleased to allocate you two early check ins which can be ready for 12pm.
Yes, but only if booked directly with the hotel. No third party sites offer a Bed & Breakfast rate so make sure you book directly to ensure the best price.
Restaurant 1584 serves wedding, leisure and corporate guests for breakfast. For this reason we request that all weddings respect our smart/casual dress code. Nightwear is not considered appropriate in our restaurant.
Please speak with your sales coordinator in regards to room service breakfast if you wish to wear your coordinated pyjamas throughout the morning and they will organise for you to have breakfast in your bedroom.
We don’t have family rooms as such however we can put z-beds into rooms for children up to the age of 12, please note these will be an additional charge. Any children above the age of 12 will need to be in a separate room with an appropriate adult.
Whitley Hall has an incredible in-house venue styling team called Forever Yours. Forever Yours provides Venue Styling, Floristry, Stationery and Hair & Makeup. Due to complications in the past we no longer allow external venue stylists or florists.
Yes of course, and our staff will be happy to set up those extra touches for you provided they are of a reasonable amount, e.g. name cards, complete centre pieces, scatter crystals. We will be unable to set up anything more than this or any external decorations. If this is a requirement then you must arrange for someone from your party to undertake this.
In order to keep the function room and grounds damage free only fixings that are easily removable without leaving marks can be used, e.g. command strips or something similar. Any damage to hotel décor, fixtures or fittings caused will be deducted from your bond.
The hotel does not allow fireworks or Chinese lanterns due to the surrounding farms and farmland.
We require your decorations the day before and ask that everything be boxed up by table and that a set of instructions for our team to follow is provided at this time so we can understand what you want doing with all items supplied to us. Cakes and flowers must be delivered on the morning of your wedding and not before as no storage space will be available.
In general we cannot allow dogs at the hotel however we allow well behaved dogs on a lead to join you for your ceremony and photographs. Unfortunately your four legged friend will need to leave after photographs.
Whilst we obviously recommend the incredible team at Forever Yours for Hair & Makeup, it is possible for you to bring your own company in. You would need to have booked a bedroom to get ready in with your sales coordinator as the Forever Yours salon is only available for their team.
